Administrative Specialist

Seeking an experienced Administrative Specialist for a large utilities company in Charlotte, NC. This position is responsible for providing administrative support for Outdoor Lighting Services supporting the Lighting Program, while working within the parameters of established processes and standards.

Responsibilities:

  • Maintains office record retention files

  • Orders office supplies

  • Assists Managers with meeting minutes, action items, office logistics while performing other lighting support duties

  • Updates required reference materials for lighting services

  • Efficiently uses available tools, reports or systems to effectively analyze and communicate productivity details to internal/external customers

  • Takes ownership of customer issues and problems until resolved, requesting assistance as needed and communicates findings with internal and external customers.

  • Provides updates and job status details to both internal and external customers as needed

  • Ensures work is scheduled and executed timely

  • Assists with preliminary research and root cause analysis for customer issues

  • Collaborates with other work groups to ensure desired customer experience

  • Initiates facility/security requests and on boarding activities (computers, badge, employee IDs, etc.)

  • Creates appropriate work order to complete follow-up work utilizing the most cost effective resource and skill set

  • Prepares for and provides emergency restoration support as needed

  • Supports the Delivery Operations reliability programs and processes using appropriate work management applications

Working hours: 8:00 AM - 5:00 PM

  • Demonstrates excellent customer service or administrative skills

  • Possesses effective written and verbal communication and interpersonal skills

  • Collaborates effectively in a team environment

  • Demonstrates knowledge of Maximo and/or related Work Management Systems

  • Exhibits flexibility and dependability during normal work schedule and emergency storm restoration

  • Effectively manages stressful situations

  • Exhibits flexibility and dependability to include overtime and emergency storm restoration

Qualifications:

  • High school diploma / GED

  • One+ years of providing customer service or administrative support

  • Proficient in Microsoft Office software
