Document Control Specialist
Are you a self-motivated, passionate administrative professional who would like to be apart of a stable company in the Millington, TN area? Do you have a superb ability to pay attention to details and learn new information and adapt to new computer software quickly? We are actively looking for an experienced Administrative Assistant-Document Control Specialist to support a team of Managers and Engineers.
In this casual work environment, you will primary work independently to support multiple managers and other employees within the departments. The ideal candidate for the Document Control Specialist position is organized, resourceful, and a good problem solver.
As an Administrative Assistant-Document Control Specialist, you will be responsible for creating transmittals and document packages to send out for client approval and/or review. You will also be responsible for comparing reports, creating reports, running previous reports, proof-reading and revising reports, printing reports, scanning documents and/or reports, electronic filing, and communicating with Department Managers and Engineers. Microsoft Excel, Word skills will be critical to success in this role. AutoCAD experience is a plus.
Working hours: 8:00 AM - 4:30 PM
Compare reports issued by Engineering Manager, make adjustment if required to the Engineering Log
Create current week production report. Give to production manager for his weekly projections for the current week
Update the electronic copy and distribute copy of reports to the Engineering Manager
Run previous weeks reports for salesmen quotes for Plant Manager
Job Release/Revision-Receive and ensure all documents are in the electronic folder-Electronically print all documents
Fold drawings, stamp documents as release/revision with date and Department, Distribute to QC Department to redistribute to outside plant
Proofing and questioning when paperwork does not match
Issue Notification of all Dept. Heads and sales people of the RELEASE of any jobs and update Engineering Log with information
Create transmittals and documentation packages to send out for client approval and/or review
Scan important documents and maintain the filing system
Work with the sales team in obtaining quote numbers and update information in the system
Reconcile ACH deposits on (2) Bank Statements for Accounting Department
Data Entry and other task as it is requested
High school diploma or equivalent required
Previous administrative and/or accounting experience supporting a mid-size company
Proficiency in Microsoft Suite, particularly Word and Excel
Effective communication, organization, and time management
Positive and Professional demeanor
Ability to work independently
Confidence working with all levels of internal and external contacts
