Administrative Assistant (Marketing)

Randstad USA (www.RandstadUSA.com) is looking for a Administrative Assistant to the Marketing Department to provide Marketing assistance in assembling of memos, generating of slides and proposals for a small Engineering Firm in their Pleasanton office!

Core Responsibilities of the Administrative Assistant to the Marketing Department:

  • Field inbound telephone calls;

  • Assemble RFP's and Proposals via Microsoft Office Suite;

  • Provide calendar management for Marketing Associates;

  • Create spreadsheets and presentations as requested;

  • Filing of Alpha Numeric Data;

  • Triage mail; oversee shipping, receiving & staging associated with projects

  • Assist team lead in overseeing creation and issuance of purchase orders to subcontractors and vendors in relation to projects

  • Run financial reports and audits of performance reports in the region;

  • Entering of Data into system requiring relevant jobs; change orders; job closing;

  • Order office supplies as needed;

  • Oversee/advise on fulfillment of technician schedules to ensure technicians are being used when available and as efficiently as possible;

Working hours: 8:00 AM - 5:00 PM


Required Skills for the Administrative Assistant to the Marketing Department:

  • 1 + years of Administrative Assistant experience

  • Microsoft Office Suite - Excel

  • Microsoft Office Suite - Word

  • Microsoft Office Suite - Access

  • Microsoft Office Suite - Powerpoint

  • Monitor Accounts Receivable Reports / Aged Inventory Reports (Weekly, Bi-Monthly & Monthly)

  • Bubbly, Personable, Professional
