Accounts Payable Specialist

job summary:

A Real Estate Management company in Santa Monica is seeking an AP Specialist to join their team.

Accounts Payable Responsibilities:

  • Daily and consistent full time attendance and punctuality is a must.

  • Enter and properly code vendor information and invoices in the accounting software.

  • Accurately process all invoices via check, ACH electronic payments, etc. for multiple entities in a timely manner.

  • Coordinate with Managers on the approval process of vendor invoices.

  • Maintain multiple credit card statements, enter and code purchases in the accounting software.

  • Communicate with vendors on payment issues, collect refunds if owed.

  • Obtain and record all vendor General Liability and Worker Comp insurance information.

  • Reconcile vendor statements, research and resolve any discrepancies.

  • Maintain vendor files.

  • Prepare and file the year end vendor 1099s.

  • Process the Secretary of State Annual Statement of Information of filing.


Accounts Payable Requirements:

  • Degree in Accounting, Finance, or other business-related field of study required.

  • At least 2 years' Accounts Payable experience required.

  • Strong working knowledge of an advanced property management software like Rent Manager preferred.

  • Proficiency in Quicken, QuickBooks and Excel desired.

  • Experience in the real estate and/or property management industry desired.
